We collect the following personal information when you create and maintain a profile on Rosterhunter. Some fields are optional and are only stored if you choose to provide them:

  • Account Identifiers: First Name, Last Name, Email Address, Username, Password (via Firebase Authentication – we cannot see your password; it is securely handled by Firebase, a trusted Google service used widely across the industry), Subscription Type.
  • Profile & Demographics: Date of Birth, State/Region, Profile Picture ID.
  • Athletic Info: Sport, Profile Type (e.g., athlete), Primary Position, Secondary Position, Dominant Hand/Foot, Class Of (graduation year), Height.
  • Education & IDs: School/High School (legacy fields may appear as “highSchool/academy”), Intended Area of Study, GPA, NCAA ID, NAIA ID.
  • Contact Details: Phone Number, Guardian Email, Guardian Phone.
  • Social & External Profiles: Instagram, X (Twitter), Hudl, YouTube, TikTok, Facebook.
  • Saved Preferences: Saved Colleges, Marketing Opt‑In.
  • Teams (if provided): For each team you add — Type (High School/Academy/Club/College), Team Name, Jersey Number, Coach Name, Coach Email, Coach Phone.
  • Videos (if provided): For each video you add — Provider (YouTube/Hudl), Title, URL.
  • Links (if provided): For each link you add — Title, URL.
  • Referral Information: Who referred you (referredBy), and a short‑lived referral cookie used to attribute sign‑ups (see Cookies below).
  • On‑site Activity: Setup progress step (internal), basic usage analytics via Google Analytics/Tag Manager and Hotjar (see Cookies below).

3. Use of Information

We use the personal data collected to:

  • Create and maintain your account.
  • Provide access to roster data and premium features.
  • Process payments for subscriptions via Stripe.
  • Communicate with you regarding your account or updates to the site.
  • If opted in, send occasional promotional emails via Brevo (can opt out anytime).

4. Subscription Payments

We offer subscription plans for premium features, processed securely through Stripe:

Player/Individual Premium Plans

  • Monthly Plan: $19.99 per month
  • Quarterly Plan: $16.66 per month ($49.99 billed every 3 months) - Save 15%
  • Annual Plan: $12.50 per month ($149.99 billed yearly) - Save 35%

Agency Subscription Plans

  • Starter Plan: $49 per month or $470 per year (Save 20%)
  • Growth Plan: $99 per month or $950 per year (Save 20%)
  • Pro Plan: $199 per month or $1,910 per year (Save 20%)

Your subscription will renew automatically at the end of each billing cycle (monthly, quarterly, or annually) unless you cancel before the renewal date. You may cancel your subscription anytime through your account settings, and your access to premium features will remain active until the end of the paid period.

5. Cookies and Tracking Technologies

We use cookies, web beacons, pixels, and similar tracking technologies to collect and store information about your interactions with our website. These technologies help us:

  • Remember your preferences and settings
  • Analyze website traffic and user behavior
  • Deliver personalized content and advertisements

  • Firebase Authentication: For user authentication and account management
  • Brevo (formerly Sendinblue): For email marketing and transactional emails

Meta Pixel and Conversions API Disclosure

We use Meta Pixel (formerly Facebook Pixel) and Meta Conversions API to track conversions, optimize our advertising campaigns, and deliver personalized advertisements on Meta platforms (Facebook and Instagram). We implement both tracking methods simultaneously to ensure comprehensive event coverage and improved measurement accuracy.

  • Dual Tracking Implementation: All events tracked via Meta Pixel are also sent to Meta through the Conversions API. This dual implementation ensures:
    • Complete event coverage even when ad blockers block the pixel
    • Improved measurement accuracy and attribution
    • Better tracking across all countries and domains where Meta Pixel is enabled
    • Tracking of both attributed events (with user identifiers) and unattributed events (without user identifiers)
  • Data Collected: When you interact with our website, we collect and share with Meta:
    • Via Meta Pixel (client-side): Page views, website interactions, purchase events, conversion data, device information (IP address, browser type, operating system), click identifiers (fbc), and browser identifiers (fbp)
    • Via Conversions API (server-side): All pixel events are mirrored server-side, plus:
      • Hashed personal information (when available): Email address, phone number, first name, last name, date of birth (YYYYMMDD format), state, city, zip code, country
      • Non-hashed identifiers (when available): External ID (your user account ID), Facebook Login ID (if you signed in with Facebook), Click ID (fbc), Browser ID (fbp)
      • Technical data: IP address and user agent for all events (including unattributed events without user identifiers)
      • Event metadata: Event source URLs (the webpage where events occurred), event timestamps, event IDs for deduplication
  • Attributed vs. Unattributed Events:
    • Attributed Events: Events sent with hashed user identifiers (email, phone, name, etc.) when you are logged in or have provided information
    • Unattributed Events: Events sent with only IP address and user agent when you are not logged in or have not provided personal information. These events help measure campaign effectiveness even without user identifiers.
  • Purpose: This data is used to:
    • Measure the effectiveness of our Meta advertising campaigns
    • Show you relevant advertisements on Meta platforms
    • Create custom audiences for advertising
    • Track conversions and optimize ad delivery
    • Improve ad matching and measurement accuracy through dual tracking
  • Data Sharing: We share the following with Meta through both Pixel and Conversions API:
    • All website interaction events (page views, purchases, registrations, etc.)
    • Hashed personal information (when available): Email address, phone number, first name, last name, date of birth, state, city, zip code, country
    • Non-hashed identifiers (when available): External ID (your user account ID), Facebook Login ID (if you signed in with Facebook), Click ID (fbc), Browser ID (fbp)
    • Technical data: IP addresses and user agents for all events (attributed and unattributed)
    • Event source URLs and metadata (timestamps, event IDs for deduplication)
  • Your Rights: You can opt out of Meta Pixel tracking by:
    • Using Meta's ad preferences: Facebook Ad Settings
    • Installing browser extensions that block tracking pixels
    • Adjusting your browser settings to block third-party cookies
    • Note: Server-side tracking via Conversions API may continue even if you block the pixel, but you can contact us to request that we stop sending your data to Meta

Referral cookie details: When you visit Rosterhunter via a referral link, we set a first‑party cookie named rh_referral_code to credit the referrer. It is HTTP‑only, uses SameSite=Lax, expires after 7 days, and is only marked Secure in production environments.

Managing Cookies: Most web browsers allow you to control cookies through their settings. You can set your browser to refuse cookies or alert you when cookies are being sent. However, disabling certain cookies may limit your ability to use some features of our website.

6. Third-Party Services and Data Sharing

Opting Out of Tracking

You can opt out of certain tracking technologies:

  • Meta Pixel: Adjust your ad preferences at Facebook Ad Settings
  • Google Analytics: Install the Google Analytics Opt-out Browser Add-on
  • Browser Settings: Most browsers allow you to block third-party cookies and tracking pixels
  • Do Not Track: Some browsers offer a "Do Not Track" feature; however, we do not currently respond to Do Not Track signals

9. Children's Privacy

Our services are not intended for children under the age of 13, and we do not knowingly collect personal data from children under 13. If you are under 13, please do not use our services or provide any personal information to us.

If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information immediately. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at info@rosterhunter.com.

For users between the ages of 13 and 18, we recommend that parents or guardians review and supervise their children's use of our services.

  • Account Information: Retained while your account is active and for a reasonable period after account deletion to comply with legal obligations
  • Payment Records: Retained for at least 7 years as required by tax and accounting laws
  • Marketing Data: Retained until you opt out or request deletion
  • Analytics Data: Aggregated and anonymized data may be retained indefinitely

When we no longer need your personal data, we will securely delete or anonymize it in accordance with our data retention policies.

Users can submit a feature request to be promoted on our social media. Submitted information (e.g., position, class year, high school, photo) is stored in our database and may be published on our social channels.

Promotions: Rosterhunter reserves the right to post user profile data (such as name, position, class year, school, and other profile details) on its social media channels at any time to promote both the individual players and the Rosterhunter service.
